CogniBill (hereinafter referred to as "the App" or "we") deeply understands the importance of privacy to you. This Privacy Policy is designed to help you understand how we handle your information.

Core Principle

All data stays on your device and your iCloud. We do not upload any of your data to any server, nor do we share your data with any third party.

1. Information We Collect

We Do Not Collect Any Personally Identifiable Information

CogniBill is a local-first application. All functionality is processed locally on your device. We do not collect any of the following information:

  • Client information (names, addresses, contact details)
  • Financial or billing data (estimates, invoices, payment records)
  • Document images or PDF files
  • Device information (model, OS version, IP address)
  • Location information
  • Usage statistics or analytics

In short: Your business data, client list, and financial records belong only to you and stay on your device forever.

2. Data Storage

  • All business data (clients, estimates, invoices, payment records, templates) is stored in your device's local storage and synchronized through your private iCloud database.
  • We operate no backend servers. We cannot access, read, copy, or transmit your data.
  • When you uninstall the App, all local data will be deleted. iCloud data may persist in your iCloud account and can be deleted separately.

3. AI Feature

CogniBill includes an optional AI-powered estimate creation feature.

3.1 Default: Apple Intelligence (On-Device)

By default, the AI feature uses Apple Intelligence, which runs entirely on your device (iOS 26+). Your text never leaves your device. No network request is made. Apple does not receive your estimate data.

3.2 Optional: Third-Party AI (Custom API)

You may optionally configure a third-party AI provider that is compatible with the OpenAI API format. When you do:

  • The text you submit (your prompt) is sent directly from the app to the server address you provide.
  • We do not proxy, cache, log, or store any of your prompts or the AI's responses.
  • The app is a pass-through — your data goes straight from your device to the API you configured.
  • Your API key is stored securely in your device's Keychain and is never sent to us.
  • Data handling is governed by the privacy policy of the API provider you choose, not ours.

3.3 You Choose

No AI provider is contacted unless you explicitly enable and configure it. You can switch between Apple Intelligence and a third-party API at any time in the app settings.

4. Data Deletion

You can delete your data in the following ways:

  • Delete individual clients, estimates, or invoices directly within the App
  • Uninstall the App (local data will be cleared)
  • Delete the App's iCloud data through your iCloud settings

5. Permissions

This App requires the following permissions, used solely for on-device processing:

You can enable or disable these permissions at any time in your system settings. Disabling permissions may affect the normal use of certain features.

6. Third-Party Services

This App does not use any third-party data analytics services, crash collection services, or advertising services.

The App uses Apple's StoreKit 2 for in-app purchases. Apple handles all payment processing — we never see your payment information.

For the AI feature using OpenAI-compatible APIs, data handling is governed by the API provider's privacy policy.

7. iCloud

CogniBill uses iCloud for data synchronization across your devices only if you enable it. iCloud sync uses your personal iCloud account and is subject to Apple's Privacy Policy. We do not have access to your iCloud data.

8. Face ID / Touch ID

CogniBill optionally uses Face ID or Touch ID to secure the app. This authentication is handled entirely by iOS system APIs. We do not have access to your biometric data.

9. Children's Privacy

This App is designed for business use and is not intended for children under 13. We do not knowingly collect personal information from children.

10. Changes to This Privacy Policy

If we update this Privacy Policy, we will publish the updated version within the App or on the official website. Material changes will be notified through the App update changelog or official website announcement.
